Welcome to FieldworkFriend. These Terms and Conditions (“Terms”) govern your access to and use of the FieldworkFriend website, platform, applications, tools, resources, and related services (collectively, the “Platform”). FieldworkFriend is operated by FieldworkFriend LLC (“FieldworkFriend,” “we,” “us,” or “our”).
By creating an account, accessing, or using FieldworkFriend, you acknowledge that you have read, understood, and agree to these Terms. If you do not agree, you should not use the Platform.
1. Purpose of FieldworkFriend
FieldworkFriend is a technology platform designed to assist individuals working, studying, training, or obtaining supervision within the field of Applied Behavior Analysis (“ABA”). The Platform may provide tools related to fieldwork tracking, supervision tracking, hour documentation, assignments, goals, forms, competency tracking, professional development, reminders, calculations, and other organizational functions.
FieldworkFriend is intended to function as an organizational and tracking tool only.
FieldworkFriend does not provide legal, clinical, ethical, regulatory, certification, credentialing, employment, medical, or professional advice. Information provided through the Platform should not be relied upon as a substitute for reviewing applicable requirements or consulting an appropriate qualified professional or regulatory authority.
2. FieldworkFriend Is Not the BACB
FieldworkFriend LLC is an independent company and is not the Behavior Analyst Certification Board (“BACB”).
FieldworkFriend is not affiliated with, endorsed by, sponsored by, approved by, or operated by the BACB unless expressly stated otherwise.
References to BACB requirements, certification categories, terminology, forms, standards, or other BACB-related information are provided for informational and organizational purposes only.
Users are responsible for reviewing and following the most current requirements published directly by the BACB.
BACB rules, standards, forms, policies, handbooks, and certification requirements may change. FieldworkFriend does not guarantee that information, calculations, reminders, templates, or features available through the Platform will always reflect the most recent BACB requirements.
3. User Responsibility for Certification and Fieldwork Requirements
FieldworkFriend may assist users with organizing or calculating information related to fieldwork, supervision, certification, or credentialing requirements. However, the user remains solely responsible for determining whether their activities, hours, supervision, documentation, or other experiences satisfy applicable requirements.
Users are responsible for, among other things:
- Reviewing current BACB requirements and applicable state or other regulatory requirements;
- Determining whether activities qualify toward certification or credentialing requirements;
- Accurately entering fieldwork, supervision, experience, and other information;
- Confirming calculations and totals;
- Obtaining appropriate supervision;
- Obtaining required signatures and documentation;
- Maintaining required documentation and records;
- Meeting applicable deadlines;
- Confirming the eligibility and qualifications of supervisors; and
- Confirming that all information submitted to the BACB or another credentialing or regulatory organization is accurate.
FieldworkFriend does not determine whether a user is eligible for certification, whether particular hours or activities will be accepted, or whether a user has satisfied BACB or other regulatory requirements.
4. No Guarantee of BACB Acceptance
Use of FieldworkFriend does not guarantee that fieldwork hours, supervision, documentation, forms, records, activities, or other information will be accepted by the BACB or any other credentialing, licensing, regulatory, educational, or professional organization.
A calculation, compliance indicator, progress bar, alert, notification, completed form, generated document, or other indication displayed by FieldworkFriend should not be interpreted as confirmation that a user has satisfied BACB requirements.
Final responsibility for reviewing and submitting certification or credentialing documentation remains with the user.
5. Audits and Documentation Reviews
FieldworkFriend is not responsible for the outcome of any BACB audit, licensing board audit, payer audit, employer review, university review, certification review, investigation, or other documentation request.
FieldworkFriend does not guarantee that records stored, generated, exported, calculated, or organized through the Platform will satisfy an audit or documentation request.
Users are responsible for independently maintaining any records required by the BACB, employers, universities, licensing boards, payers, or other applicable entities.
Users should maintain appropriate backup copies of important documentation outside of FieldworkFriend when necessary.
FieldworkFriend shall not be responsible for certification delays, rejected hours, denied applications, failed audits, loss of certification or licensure, employment consequences, financial losses, or other consequences arising from missing, inaccurate, incomplete, inaccessible, or rejected documentation.
6. Accuracy of Information and Calculations
FieldworkFriend attempts to provide useful and accurate tracking tools; however, errors may occur.
The Platform may perform automated calculations based on information entered by users. Such calculations are provided as organizational aids and should be independently reviewed.
FieldworkFriend does not warrant that calculations, percentages, hour totals, supervision totals, compliance indicators, reminders, alerts, forms, or other Platform outputs are error-free or appropriate for every user's circumstances.
Users are responsible for reviewing their information for accuracy before relying upon it or submitting it to another person or organization.
7. No Professional, Clinical, Legal, or Regulatory Advice
Content available through FieldworkFriend is provided for general informational, educational, and organizational purposes.
Nothing provided through FieldworkFriend constitutes:
- Legal advice;
- Medical or mental health advice;
- Clinical recommendations;
- ABA treatment recommendations;
- Ethical advice;
- Certification or credentialing advice;
- Employment advice;
- Regulatory or licensing advice; or
- A determination regarding compliance with BACB, state, federal, payer, employer, or university requirements.
Users should consult the appropriate governing organization or qualified professional when specific advice is needed.
8. Client Information, HIPAA, and Protected Health Information
FieldworkFriend is not intended to be used as an electronic health record, clinical record, medical record, or patient/client data management system.
Unless FieldworkFriend expressly enters into a written agreement stating otherwise, users should not assume that FieldworkFriend is a HIPAA-compliant platform or that FieldworkFriend is acting as a HIPAA Business Associate.
Users should not enter, upload, store, or transmit Protected Health Information (“PHI”) or information that identifies or could reasonably identify an ABA client, patient, or other recipient of healthcare services.
When a Platform feature requires users to reference a client, case, session, activity, or similar information, users are strongly encouraged to use non-identifying labels, such as:
- Client A;
- Client 01;
- Case 3;
- Initials only where appropriate and permitted; or
- Another internally created identifier that does not reveal the individual's identity.
Users should avoid entering information such as full client names, dates of birth, addresses, medical record numbers, diagnoses connected to identifiable individuals, insurance information, photographs, detailed clinical information, or other identifying information.
The user is responsible for determining whether information they enter into FieldworkFriend is permitted under HIPAA, applicable privacy laws, employer policies, supervision agreements, professional ethics requirements, and any other applicable rules.
FieldworkFriend is not responsible for a user's decision to enter information that should not have been entered into the Platform.
9. Confidentiality and Professional Responsibilities
Users may have independent ethical, professional, employment, contractual, or legal obligations concerning confidentiality.
Use of FieldworkFriend does not replace those obligations.
Users are responsible for ensuring that their use of the Platform complies with applicable confidentiality requirements, including requirements established by employers, supervisors, educational institutions, licensing boards, professional organizations, and applicable law.
10. Supervisor and Supervisee Relationships
FieldworkFriend may allow supervisors and supervisees to connect, share information, review documentation, complete assignments, provide feedback, or sign certain records.
FieldworkFriend does not establish a supervisory relationship merely because users connect through the Platform.
FieldworkFriend does not verify or guarantee the qualifications, credentials, eligibility, competency, identity, or standing of any supervisor or supervisee unless expressly stated otherwise.
Supervisors and supervisees remain responsible for establishing and maintaining supervision relationships that satisfy all applicable requirements.
11. Electronic Signatures and Forms
FieldworkFriend may provide tools that allow users to complete, generate, review, acknowledge, or electronically sign documents.
Users are responsible for determining whether a particular electronic signature, document, or form satisfies the requirements of the BACB or another applicable organization.
FieldworkFriend does not guarantee that any electronically generated or signed document will be accepted by the BACB, a licensing board, employer, university, payer, or other organization.
12. Reminders, Alerts, and Compliance Tools
FieldworkFriend may provide reminders, warnings, progress indicators, deadlines, or other automated notifications.
These features are intended as conveniences only.
Users should not rely exclusively on FieldworkFriend to notify them of deadlines, missing documentation, supervision deficiencies, expiring credentials, certification requirements, or other obligations.
Failure of FieldworkFriend to provide an alert or reminder does not relieve a user of responsibility for meeting applicable requirements.
13. Account Security
Users are responsible for maintaining the confidentiality and security of their account credentials and for activities conducted through their accounts.
Users should notify FieldworkFriend promptly if they believe their account has been accessed without authorization.
Users may not share login credentials in a manner that compromises Platform security or permits unauthorized access.
14. User-Provided Information
Users are responsible for information they enter, upload, submit, store, or otherwise provide through FieldworkFriend.
Users represent that they have the right and authority to provide such information and that doing so does not violate applicable law, contractual obligations, confidentiality requirements, intellectual property rights, or the rights of another person.
FieldworkFriend may rely upon user-provided information when performing calculations or generating reports. Incorrect information entered by a user may therefore result in incorrect outputs.
15. Platform Availability and Data
FieldworkFriend strives to maintain reliable access to the Platform but does not guarantee uninterrupted or error-free operation.
The Platform may occasionally become unavailable because of maintenance, technical problems, third-party services, security issues, updates, or circumstances outside FieldworkFriend's control.
Users should maintain independent copies of records that are important for certification, credentialing, employment, supervision, audit, or other professional purposes.
FieldworkFriend is not intended to serve as the user's sole permanent repository for essential professional records.
16. Third-Party Services
FieldworkFriend may integrate with or provide links to third-party websites, software, payment processors, email providers, storage providers, or other services.
FieldworkFriend does not control and is not responsible for the availability, content, privacy practices, security, accuracy, or performance of third-party services.
Use of third-party services may be governed by separate terms and privacy policies.
17. Intellectual Property
The FieldworkFriend Platform, including its branding, original content, graphics, software, designs, features, workflows, educational materials, and other proprietary materials, is owned by or licensed to FieldworkFriend LLC and is protected by applicable intellectual property laws.
Users may not reproduce, sell, redistribute, copy, reverse engineer, or commercially exploit FieldworkFriend materials or technology except as expressly authorized by FieldworkFriend or permitted by law.
Users retain ownership of content they lawfully submit to the Platform, subject to the rights reasonably necessary for FieldworkFriend to host, process, display, transmit, back up, and otherwise operate the Platform.
18. Acceptable Use
Users may not use FieldworkFriend to:
- Violate applicable laws or regulations;
- Infringe upon another person's rights;
- Upload malicious software or harmful content;
- Attempt to gain unauthorized access to accounts or systems;
- Interfere with the operation or security of the Platform;
- Misrepresent credentials, supervision, fieldwork, or professional activities;
- Fabricate or falsify documentation;
- Impersonate another person; or
- Use the Platform for fraudulent, abusive, or unlawful purposes.
FieldworkFriend may suspend or terminate accounts that violate these Terms.
19. Disclaimer of Warranties
To the fullest extent permitted by applicable law, FieldworkFriend and its services are provided on an “as is” and “as available” basis without warranties of any kind, express or implied.
FieldworkFriend does not guarantee that the Platform will be uninterrupted, error-free, secure, accurate, complete, or suitable for a user's particular certification, professional, educational, regulatory, or employment needs.
20. Limitation of Liability
To the fullest extent permitted by applicable law, FieldworkFriend LLC and its owners, officers, employees, contractors, affiliates, and agents shall not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from or related to use of, inability to use, or reliance upon the Platform.
This includes, without limitation, losses related to certification eligibility, rejected fieldwork hours, missed deadlines, failed audits, credentialing decisions, employment decisions, lost data, lost income, business interruption, or reliance upon calculations, reminders, reports, forms, or information provided through FieldworkFriend.
To the extent liability cannot legally be excluded, FieldworkFriend's liability shall be limited to the maximum extent permitted by applicable law.
21. Indemnification
To the extent permitted by law, users agree to indemnify and hold harmless FieldworkFriend LLC and its owners, officers, employees, contractors, affiliates, and agents from claims, liabilities, damages, losses, and expenses arising from the user's misuse of the Platform, violation of these Terms, unlawful submission of information, or violation of another person's rights.
22. Changes to the Platform and Terms
FieldworkFriend may modify, add, discontinue, or update Platform features at any time.
These Terms may also be updated periodically. When material changes are made, FieldworkFriend may provide notice through the Platform, by email, or through another reasonable method.
Continued use of FieldworkFriend after updated Terms become effective constitutes acceptance of the revised Terms to the extent permitted by applicable law.
23. Termination
Users may discontinue use of FieldworkFriend at any time.
FieldworkFriend reserves the right to suspend or terminate access to the Platform when reasonably necessary, including for violations of these Terms, fraudulent activity, security concerns, unlawful conduct, nonpayment of applicable fees, or conduct that could harm FieldworkFriend or its users.
24. Refund & Cancellation Policy
Subscriptions
FieldworkFriend Best Friend subscriptions are available on a monthly or annual basis and automatically renew unless canceled before the next renewal date.
You may cancel your subscription at any time. Cancellation will take effect at the end of your current billing period, and you will continue to have access to your paid FieldworkFriend features until that time. You will not be charged again after your subscription has been canceled.
Refunds
FieldworkFriend LLC offers a 30-day money-back guarantee on Best Friend subscriptions. If you are not satisfied with your subscription, you may request a full refund within 30 days of your order date, for any reason.
To request a refund, contact us at hello@fieldworkfriend.com using the email address associated with your purchase, and we will process it for you.
If you experience a billing error, duplicate charge, or technical issue that prevents you from accessing the paid features of FieldworkFriend, please contact us so we can help resolve the issue.
Payments Through Stripe
Payments for FieldworkFriend subscriptions are processed by Stripe on our behalf. FieldworkFriend LLC is the seller of the subscription, and Stripe handles payment processing, billing, invoicing, and applicable taxes in accordance with its policies and applicable law. We do not receive or store your full payment card details.
You can manage or cancel your subscription at any time from your FieldworkFriend settings, or by contacting us for assistance.
Your Consumer Rights
Nothing in this policy limits any refund, cancellation, withdrawal, or other rights you may have under applicable consumer protection laws.
25. Governing Law
These Terms shall be governed by and interpreted in accordance with the laws of the State of New Jersey, without regard to conflict-of-law principles, except where applicable law requires otherwise.
26. Entire Agreement
These Terms, together with FieldworkFriend's Privacy Policy and any additional terms presented for particular services or features, constitute the agreement between the user and FieldworkFriend concerning use of the Platform.
If any provision of these Terms is found to be unenforceable, the remaining provisions shall remain in effect to the fullest extent permitted by law.

Important User Acknowledgment
By creating an account or using FieldworkFriend, you acknowledge that:
FieldworkFriend is an independent tracking and organizational platform and is not the BACB. FieldworkFriend does not determine whether your fieldwork, supervision, documentation, or professional activities satisfy certification or regulatory requirements. You remain responsible for reviewing current requirements, maintaining appropriate records, protecting confidential information, and verifying the accuracy of all information before relying upon or submitting it. FieldworkFriend is not intended for the storage of Protected Health Information or identifiable client information.
