FieldworkFriend LLC ("we", "us", "our") is the company behind FieldworkFriend, software that helps people accruing hours toward BCBA exam eligibility, RBTs, and supervisors organize fieldwork hours, documentation, and verification forms. For the purposes of applicable data protection law, FieldworkFriend LLC is the data controller for the personal information described in this policy. This Privacy Policy explains what information we collect, how and why we use it, the legal bases we rely on, and the choices you have.
1. Information we collect
- Account information — name, email, role, and optional certification identifiers you provide at sign-up.
- Fieldwork content — hours, activities, notes, competency entries, IOA data, and verification-form information you enter.
- Usage data — basic analytics (pages viewed, approximate timing) used to operate and improve the service.
- Cookies / local storage — used to keep you signed in and remember preferences.
- Billing information — subscription status and basic billing details associated with your account. Payments themselves are processed by Stripe on our behalf; we do not receive or store your full payment card details.
2. How we use information and our legal bases
- To provide the service — hour tracking, verification-form generation, and supervisor / trainee collaboration. Legal basis: performance of our contract with you.
- To manage your subscription and payments — processing orders through Stripe, keeping your plan status up to date, and invoicing. Legal basis: performance of our contract with you.
- To communicate with you — about your account, verification forms, and product updates. Legal basis: performance of our contract; for non-essential emails, your consent (you can unsubscribe at any time).
- To keep the service secure and prevent abuse — maintaining security, detecting fraud, and meeting legal obligations. Legal basis: our legitimate interests in protecting the service and our users.
- To improve the service — understanding usage through basic analytics. Legal basis: our legitimate interests in operating and improving FieldworkFriend.
3. Service providers and data sharing
We share personal information only with the categories of recipients below, each of which processes it on our behalf or as required to provide the service:
- Hosting, storage, and email providers — companies that host the application, store your data, and deliver emails, processing information on our behalf under their own privacy and security commitments.
- Stripe (payment processing) — our payment processor. Stripe processes your payment, manages subscription billing, handles taxes and invoicing, and provides payment-related support. Stripe collects and processes your payment and billing data, and shares subscription status and basic billing information with us so we can activate your paid features.
- Professional advisers — legal, accounting, and other professional services firms, where needed.
- Authorities — regulators, law enforcement, or courts, where required by law.
4. Data retention
We retain your information while your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of your account at any time.
5. Your choices
- Access, update, or export your fieldwork data from within the app.
- Request account deletion by contacting us.
- Opt out of non-essential email by using the unsubscribe link in our messages.
6. Security and HIPAA
FieldworkFriend is built with security and privacy considerations in mind, including encryption in transit and access controls. FieldworkFriend is not "HIPAA certified" (no such certification exists). If your use case involves Protected Health Information, you are responsible for evaluating whether the service is appropriate and for implementing safeguards on your end, including any required Business Associate Agreements.
7. Children
FieldworkFriend is intended for use by professionals and adult trainees. We do not knowingly collect information directly from children.
8. Changes
We may update this policy. We will post the new effective date above and, when changes are material, notify you in-app or by email.
